This project redesigned the candidate application flow for Taaleemi, an educational recruitment SaaS platform, aiming to streamline the hiring process for schools and educators by creating an intuitive, mobile-first experience. Educator feedback indicated frustration with the fragmented application process requiring redundant data entry across multiple school applications, causing a 70% abandonment rate before completion.

Many qualified candidates were giving up mid-process, resulting in schools missing out on excellent talent.

Constraints

Technical Infrastructure: The existing legacy database structure limited our ability to implement real-time synchronization, requiring careful migration planning to avoid disrupting active users during the transition period.
Tight Deadline: The entire recruitment flow redesign had to be completed within 8 weeks, which limited our ability to conduct extensive A/B testing across all user segments.
Complex Requirements: Balancing the need for comprehensive candidate profiles that schools require with the desire to minimize friction in the application process.
User Resistance: Overcoming potential resistance from users who were accustomed to traditional PDF resume uploads and email-based application systems.
Resource Constraints: Limited access to international schools for user research, particularly those in remote regions where internet connectivity affects platform usage.
Risk of Data Migration: The main risk was potential data loss during the migration of existing candidate profiles to the new unified system, which could damage user trust irreparably.

Our research phase revealed that 78% of educators apply to schools within a 2-week window, creating urgency in their job search process. We discovered that mobile usage peaked during commute hours, informing our mobile-first design approach. Design decisions prioritized one-handed navigation and offline capability for document uploads. Prototyping focused on the critical "first application" experience, testing with 50 educators across 5 countries. Due to time constraints, we conducted remote unmoderated testing for the secondary flows. Final implementation emphasized performance optimization for users with slower internet connections.
